The Challenge
Tablelands Regional Council services a community of around 26,000 people across eleven tight-knit towns in Far North Queensland.
Prior to adopting TechnologyOne’s DXP app, the council had been utilising a legacy solution to manage the end-to-end process of corporate meetings.
Tablelands Regional Council Senior Business Services Officer, Sarelle Sinclair, said a lack of integration between systems meant wasted time spent on repetitive processes, leading to inefficiencies across the organisation.
“We wanted a user friendly application that required little training or configuration to document the administration elements for corporate meetings,” Sinclair said.
The Solution
Tablelands Regional Council leveraged TechnologyOne’s DXP Meetings solution to streamline the management of meetings and provide a single source of truth for all documentation.
The council was able to quickly and easily get DXP Meetings setup and fully operational, including users training, in less than 3 weeks.
DXP offers a frictionless app experience that harnesses new technologies and leverages the power of enterprise software. It is available to SaaS customers from TechnologyOne’s 2020A release.
Designed to provide a modern meeting experience, DXP Meetings empowers anyone in an organisation to create, manage and record meetings, drastically reducing the administration burden.
With powerful workflow capabilities, the ability to plan, schedule and track meeting decisions is simplified and can be done on any device, anywhere, at any time.
“Previously, documents had to be handled twice in two separate environments. Now, everything is not only handled once, but with the power of TechnologyOne’s Business Process Automation (BPA), it is seamless,” Sinclair said.
“Administration officers formerly had to manually upload contributions but with DXP Meetings, contributors simply write reports themselves directly into the meeting – this has been a monumental efficiency gain for us.

The rollout of DXP Meetings has only increased the appetite to modernise other areas of the council and has certainly driven us to explore other TechnologyOne solutions.
The Outcome
Since piloting DXP Meetings, the council has utilised the application across multiple departments and is planning to launch council wide.
“By using DXP Meetings we have revolutionised how we run meetings in a way we could never have achieved with our legacy system,” Sinclair said.
Adopting DXP Meetings has enabled the council to embrace the advanced features and rich functionality, including submissions management and BPA approvals with almost no staff training.
“The software is easy; users adopt and embrace it quickly. It provides mobility, speed and great workflow to streamline processes,” Sinclair said.
“The rollout of DXP Meetings has only increased the appetite to modernise other areas of the council and has certainly driven us to explore other TechnologyOne solutions.”
When asked if the council would recommend DXP Meetings to other organisations, the answer was clear.
“Just do it! We will definitely not be reminiscing about the legacy product or practices. DXP Meetings will, however, leave you wanting more TechnologyOne products,” Sinclair said.
