What is Virtual Consultant and why would I use it?
Virtual Consultant is about providing quick solutions to problems. Our experienced consultants can help you with a wide variety of tasks. Click here to see some examples of the types of services that we can perform for you, such as report writing, training and system configuration.
How is it different to regular on site consulting?
When you book a regular consultant to visit you at your workplace, it is typically for a full day. This means that you may need to have a number of tasks to keep them busy for that time. It also may mean you need to wait for a consultant to become available and there could be some travel expenses involved. Our Virtual Consultant service can be used in increments of 15 minutes, so you only pay for the time that you use! Small time increments mean you don’t need to store up your issues, so you can resolve them fast. We work remotely so there is no travelling and we may even be able to help you on the same day of your request.
What is the likely response time to my request?
This can depend on the nature, complexity and urgency of the request. Please contact us to discuss your exact needs and we can schedule the work to suit your requirements.
Can I book a session in advance?
The more notice you provide, the better we will be able to meet your preferred time.
How do I know how much time will be charged?
You can either let us know how much time you would like to book (for example a two hour training session) or we can start with a ball-park estimate and work with you from there. The more detailed the initial request is, the more accurate our estimation will be.
Is there any ongoing support for the work performed?
Virtual Consultant services are charged based on time taken to perform the task. If you require further work done, we can perform this work at the current rate.
How do you do the work?
This service is available remotely over the phone and using technologies such as ‘remote desktop' control (where you and our consultant can see and action the same screen). The type of remote connection used may depend on the work, and we will discuss this with you prior to commencing the job.
How much does it cost?
The standard Virtual Consultant rate is $62.50* for 15 minutes of service. Promotional rates may be offered from time to time. The value of the services performed will be deducted from your prepaid account at either the standard rate, or the promotional rate, whichever is applicable at the time.
Does it need to be prepaid?
No it doesn't, but you do have the option to use a prepayment facility if you choose. Please click here to view more information about prepaying and monthly billing.
My organisation utilises multiple TechnologyOne products, are we able to be invoiced separately per product?
Yes we can arrange this for you. Please email us with the details of which products require a separate invoice.
Prepaid Accounts
How does a prepaid account work?
A prepaid account means you are paying up-front for Virtual Consultant services. There are no establishment fees or any other type of ongoing fee. When we perform work for you, it is done at the standard consulting rate and is deducted from your prepaid balance. Once a month we will email you an activity statement so you will be able to see the activity on your account that month.
Prepaying reduces your overheads as you don't have a bill to pay for each job that we do for you - just the initial prepayment and any subsequent top-ups. It is also a great way to maximise any remaining budget at the end of the financial year. See here for more details.
I need a consultant on site. Can I pay for it from my Virtual Consultant account?
No. You will pay your standard half or full day consulting rate to have a consultant on site. Virtual Consultant is a different service.
Is there a minimum charge to establish and top up my account?
We require a minimum payment of $2,000* for account establishment and subsequent top-ups. This provides eight hours of service at the current rate of $62.50* per 15 minutes. This amount is available to use immediately - it is not a fee. Virtual Consultant does not charge any fees other than the cost of using our services.
How do I top up my account?
You can top up at any time by sending a purchase order to VirtualConsultant@TechnologyOneCorp.com. If you don't have the ability to provide a purchase order, click here to request a direct invoice. We will then send you a tax invoice for the requested amount which will contain our direct debit details.
How do I check what my balance is?
At the end of each month we will send you an activity statement that shows all prepayments, the balance as at the end of the previous month and the services used for the current month. If you require a more up-to-date balance during the month, please email us.
What is the minimum charge for a job?
Customers with a prepayment account are charged in 15 minute increments. The minimum time for a job is 15 minutes.

Who in my organisation can request a Virtual Consultant Service?
When you first apply for a prepaid Virtual Consultant account, you are asked to provide the names of the people who are authorised to request Virtual Consultant services. Each time you request a service, we cross-check the person requesting the service with the names of the authorised users on your account and will contact you if there is a discrepancy. How soon can I start using the service?
We can commence work once we have sent you an invoice. We can perform up to 2 hours work without having received payment. If this is an issue please contact us.
Why are your payment terms zero days?
Having a prepaid account means that you are paying in advance for services performed by our Virtual Consultants.
Who in my organisation will receive the monthly activity statement?
The monthly activity statement is emailed to the user who submits the request for a prepaid account. This can be changed at any time by emailing us.
How do I book a Virtual Consultant?
To request Virtual Consultant services, click here and complete and submit the details on the screen. By submitting the request you warrant that you have the authority to do so on behalf of your organisation.
How will the session be executed?
After we determine your exact requirements, a mutually agreeable time will be scheduled to perform the work - we'll confirm those details with you over the phone or by email. The execution of the service is usually performed using a combination of phone and technologies such as ‘remote desktop' control (where you and our consultant can see and action the same screen). The type of remote connection used will be discussed and agreed upon prior to commencing the job.
Monthly Billing
How does monthly billing work?
Monthly billing means that you will simply receive an invoice at the end of the month for any services performed for you that month. There is no prepayment necessary and the invoice is subject to our normal payment terms. See here for more details.
How do I change to monthly billing?
You can move from your Prepayment account to Monthly Billing once your prepaid balance reaches zero. If your account reaches zero whilst we are in the middle of a job, you will be billed separately for the extra time for that job. The next job can then be performed using the Monthly Billing option. It is important that you email us to advise us of your intention to change so we can ensure a smooth changeover and confirm your prepaid balance.
Who in my organisation can request a Virtual Consultant service?
We will accept a request for a monthly billed service from any user in your organisation. When you request a service, you are asked to agree to the Terms and Conditions which state that by requesting a service, you are agreeing that you have the authority to do so on behalf of your organisation.

We will usually email the invoice to the person who makes the most requests for service. This ensures that the content of the invoice can be checked and verified by this person.
I think I need a consultant on site. What is the difference between Virtual Consultant and an on site consultant?
Virtual Consultants generally perform shorter jobs and as such can usually accommodate your needs quickly. We are also available should you not be able to secure the services of an on site consultant when you need them. On site consultants typically are engaged for a minimum of a half or a full day.
I want a monthly bill. What do I do now?
All you need to do is visit our
request for service page and fill out the details. We'll do the work and send you a bill at the end of the month. Easy.
* Amounts quoted are in Australian Dollars. Australian customers must add 10% GST. The rate of AUD62.50 per 15 minutes is effective until 30 September 2011.
